Job Duties and Responsibilities:
Scholarship Management:
Manage and oversee all aspects of the College’s scholarship programs and graduate student tuition payments by coordinating with University Advancement and unit-level scholarship committees, ensuring fair and timely award processes, supporting student and faculty success, stewarding donor resources, and maintaining accurate, compliant financial operations.
Administrative Support:
Provide administrative support to the Associate Dean. Take an active role in managing, monitoring, summarizing, and disseminating the APO budgets with the College, coordinating with academic department heads and with the Office of Business & Resource Planning. Oversee financial and business processes for the APO, such as purchasing, travel, deposits, and other related matters. This includes developing, monitoring, and reconciling the APO budget accounts; preparing annual, mid-year, and monthly financial reports for the Associate Dean; and identifying spending patterns, efficiencies, and opportunities for strategic reinvestment. Work with ACES HR and departments to coordinate adjunct faculty and overage needs on a semester-by-semester basis. Aid in the understanding and interpretation of NMSU policies and procedures related to promotion & tenure. Handle maintenance of college promotion & tenure information in Watermark, provide yearly training and support to faculty and department heads. Provide support to the Chair of the College's promotion & tenure committee during the annual review cycle.
Support Student Services:
Provide support and assist with handling special projects related to student recruitment, retention, and placement. Provide training and support to the ACES administrative and support staff, and student Ambassadors. Provide backup support for the student services component and functions of the ACES Academic Programs Office. Cross-training and providing support/backup to other team members to ensure that student and College needs are met is essential for this job function.
Serve as Liaison to other key College and NMSU units:
Serve as ACES APO liaison to other key campus offices (e.g., Advancement, Communication and Marketing, Student Success, Financial Aid, ACES Dean's Office, etc.).
The position will require occasional work in the evenings or at weekends, depending on APO needs.
Requires understanding of scholarship administration, financial aid processes, university budgeting and fiscal operations, academic and HR policies, promotion and tenure procedures, and student services functions. Must be familiar with university systems such as ScholarDollar, Banner, Chrome River, and Watermark P&T, along with general higher-education administrative practices. Skills: Must demonstrate strong budgeting and financial reporting skills; proficiency in data management and recordkeeping; effective written and verbal communication; and the ability to coordinate processes across multiple academic units. Strong skills in collaboration, customer service, training, and workflow management are essential to support students, faculty, and department leaders. Abilities: Must be able to exercise sound judgment, maintain confidentiality, and work both independently and collaboratively in a fast-paced environment. Requires the ability to interpret and apply university policies, manage multiple priorities, provide cross-functional support within the Academic Programs Office, and serve as an effective liaison to campus partners.
