Job Duties and Responsibilities:

40%: Daily Operations
-Manage and coordinate all administrative functions for the Head Football Coach, including scheduling, correspondence, travel logistics, and daily workflow.
-Oversee the organization and maintenance of the Head Coach’s calendar, meetings, speaking engagements, and recruiting-related events.
-Coordinate internal communication within the football program to ensure alignment between coaching staff, support staff, and athletics administration.
-Prepare reports, presentations, and correspondence on behalf of the Head Coach and football administration.
-Arrange meeting spaces, technology support, and catering as needed.
-Assist the Assistant AD for Football Operations with administrative needs for assistant coaches and program initiatives.
-Assist with recruiting operations, including visit coordination and documentation (in compliance with NCAA rules)
-Develop and maintain office procedures, policies, and operational systems to promote efficiency and professionalism within the football office.

25%: Scheduling
-Serve as the primary point of contact for internal scheduling conflicts and facility requests.
-Assist with planning and coordination of camps, clinics, recruiting events, and special events hosted by the football program.
-Monitor and facilitate game-week operations and logistics to ensure all administrative needs are met.

20%: Liaison
- Serve as a liaison between the football program and other athletics departments including compliance, academics, business office, marketing, communications, facilities, equipment, and event management.
-Serve as a primary point of contact for parents and families, addressing questions and facilitating communication with the coaching staff. Assist in resolving concerns or elevating issues to the appropriate coaching or administrative personnel
-Act as a point of contact for external constituents including donors, alumni, high school coaches, and community partners.
-Ensure timely and accurate flow of information between the football program and internal/external stakeholders.
-Support all game-day operations, including logistics, credentialing, family and guest coordination, and sideline support 

5%: Public Relations
-Assist with coordination of media requests, public appearances, and community engagement opportunities.
-Support the Head Coach in maintaining positive relationships with alumni, donors, university leadership, and the broader community.
-Handle confidential communications with discretion and professionalism
-Help facilitate special events, donor functions, and program-related outreach initiatives.

5%: Growth & Development
-Support long-term planning projects and special initiatives as assigned by the Head Coach or Assistant Athletics Director for Football Operations.
-Identify opportunities for process improvement and implement systems that support program growth.

5%: Compliance
-Follow all compliance regulations and keep accurate records to be used in any compliance issues. Compliance issues cover every aspect of the program. A firm grasp of the NCAA and Conference rules greatly benefits the program.

 

Qualifications

Required Education and Experience: 
High School diploma + 3 years of relevant experience or an Associate's Degree + 1 year of relevant experience.

Equivalent Qualifications: 

Preferred Qualifications: 
2+ years of administrative or athletics experience (football preferred).
General knowledge of NCAA rules.
Excellent oral and written communication skills.
Ability to use word processing, spreadsheet and database programs.
Ability to multi-task and work cooperatively with others.
Interpersonal and communication skills and ability to plan and organize effectively.

Working Conditions and Physical Effort

Environment: Work is normally performed in a typical interior/office work environment.

Physical Effort: No or very limited physical effort required.

Lifting Requirements: Requires handling of average-weight objects up to 10 pounds or some standing or walking.
