Classification Summary:
Responsible for overseeing business operations support in individual or multiple program area(s). Responsibilities may include, but are not limited to, the development and execution of management processes, training and education on standard requirements and methods, creating models to improve business decisions, personnel functions, labor and/or cost reporting, document editing, process quality control, pricing, tracking and management of documentation and/or automated processes.
Classification Standard Duties:
As appropriate may develop or assist in the development and maintenance of business reporting and management tools/processes. May supervise regular or temporary staff. Responsible for supervising business process transactions to ensure timely and accurate processing. May oversee and/or assist, as appropriate, in areas such as business finance, planning, scheduling, contractual compliance, cost management, and proposal support.

Knowledge, Skills and Abilities
KNOWLEDGE:Knowledge of general business principles and/or procedures. Knowledge of marketing strategies, processes, and available resources.; SKILLS:Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Skill in the use of computers, preferably in a PC, Windows-based operating environment. Employee development and performance management skills.; ABILITIES:Ability to develop and maintain recordkeeping systems and procedures. Ability to communicate effectively, both orally and in writing.
Job Duties and Responsibilities
The Business Operations Specialist plays a key role in supporting the department chair with both administrative and clinical operations. This position is responsible for supporting the department chair with administrative duties as assigned. In addition, the position will be responsible for processing and managing patient billing, including third-party reimbursement claims, and ensuring all documentation is accurate and up to date. The specialist researches and verifies patient insurance eligibility, submits and resubmits claims as necessary, and follows up on outstanding payments to ensure timely revenue collection. They respond to patient and insurance inquiries, both by phone and in writing, and provide clear explanations regarding billing issues and coverage. This role includes maintaining and reconciling financial records, preparing regular income reports and statistical summaries, and ensuring that payments and transactions are accurately recorded and balanced with the general ledger. The specialist also assists with the development and implementation of operational procedures aimed at enhancing efficiency and maximizing revenue, while upholding strict confidentiality standards for financial and patient information. In addition to financial responsibilities, the Business Operations Specialist performs a variety of clerical and administrative duties such as assisting with patient scheduling, data entry, managing correspondence, supporting walk-in inquiries, and maintaining records in accordance with institutional policies. They work closely with faculty and students to support program activities and may assist in the dental clinic as needed to ensure smooth day-to-day operations. The specialist also helps manage records in compliance with NMSU’s record maintenance and disposition protocols and provides administrative support to the program director or department chair as assigned.
Preferred Qualifications
The ideal candidate will be a Dental Hygienist or Certified Dental Assistant or Dental Assistant with at least one year of experience in clinical practice or an individual with at least two years of experience in administrative duties in a dental office or NMSU-DACC banner administrative experience.
Special Requirements of the Position
If the final candidate is not a Dental Hygienist or Dental Assistant, He or She must be willing to be trained and obtain his or her dental assisting radiation license in New Mexico within one year of employment.
